A key to being a successful volunteer is to track the outcomes of each contact with an alum. The most important pieces of information to collect are:

  • Was the alum reachable and what method was best – email, phone, or mail?
  • Did he or she have favorable things to say about Illinois and/or the College of Media?
  • Is the alum interested in participating in the Alumni Decades program?
  • And is there any necessary follow-up: mail the pledge form, send a thank you or let the Advancement office know of new contact information or special equests made by the alum.

A tracking template is available here as a Word table. Ideally, tracking notes will be submitted to the Office of Advancement in December and May. The staff contact will also do personal fall and spring check-ins to make sure volunteers have all the resources necessary to be successful, as well as to discuss any new questions or concerns.

In addition to tracking outcomes, monthly email updates will be shared on collective outcomes, i.e., goals, success stories, updates in resources, etc. This email is sent to volunteers only around the 15th of every month.
